Helping You Use AI Responsibly
DM365 uses artificial intelligence and automation to help businesses work more efficiently, improve customer experiences and reduce repetitive administration. This policy explains how AI is used within DM365, the responsibilities of Red Knight Solutions and our customers, and the principles that guide our approach to responsible AI.
1. Our Approach
We believe AI should assist people, not replace sound business judgement. AI within DM365 is designed to support productivity, decision-making and customer engagement while remaining subject to appropriate human oversight.
2. How AI May Be Used
AI features may assist with drafting content, summarising conversations, analysing information, routing enquiries, supporting customer communications and automating repetitive business processes.
3. Human Oversight
Customers remain responsible for reviewing AI-generated outputs before acting on or publishing them. AI suggestions should always be considered alongside professional judgement and knowledge of the customer or business context.
4. Customer Responsibilities
Customers are responsible for configuring automations appropriately, testing they work as expected, monitoring their operation, ensuring AI-generated content is suitable, complying with applicable laws and maintaining appropriate controls over access to their DM365 account.
5. Data Protection
AI features operate within the wider DM365 privacy and security framework. Personal information must only be processed lawfully and customers remain responsible for ensuring they have appropriate rights to use the data they provide.
6. Ethical Use
DM365 must not be used to generate unlawful, misleading, discriminatory, abusive or fraudulent content. Customers must not use AI features to impersonate others or intentionally deceive individuals.
7. AI Limitations
AI can make mistakes, misunderstand context or generate incomplete information. Customers should independently verify important information before relying upon it for legal, financial, regulatory or other significant business decisions.
8. Continuous Improvement
We continually review AI capabilities to improve quality, security and usefulness. Features may evolve over time as technology develops and customer needs change.
9. Changes to this Policy
This policy may be updated to reflect changes in legislation, technology or the AI capabilities available within DM365. The latest version will always be published within the DM365 Trust Centre.
