DM365 has been designed to help businesses grow through better systems, automation and customer communication.

This Acceptable Use Policy explains how the platform should be used to ensure it remains secure, reliable and effective for all customers.

By using DM365, you agree to use the platform responsibly, legally and ethically.

1. Purpose of this Policy

This policy exists to:

  • Protect customers and their data.
  • Maintain the security and integrity of the platform.
  • Ensure compliance with applicable laws and regulations.
  • Support responsible use of automation and artificial intelligence.
  • Protect the reputation of DM365 and Red Knight Solutions.

2. Lawful Use

You must only use DM365 for lawful business activities.

You must not use the platform for any activity that:

  • Breaks the law.
  • Encourages illegal activity.
  • Harasses or abuses individuals.
  • Promotes discrimination or hate.
  • Infringes intellectual property rights.
  • Violates another person’s privacy.

3. Email Marketing

Customers using DM365 for email marketing must comply with all applicable legislation, including UK GDPR and the Privacy and Electronic Communications Regulations (PECR).

You are responsible for ensuring:

  • Recipients have given appropriate consent where required.
  • Marketing communications include a clear unsubscribe option.
  • Contact lists are obtained lawfully.
  • Email campaigns are accurate and not misleading.

Spam, purchased mailing lists and deceptive marketing practices are not permitted.

4. SMS and WhatsApp Messaging

Where SMS or WhatsApp functionality is used, customers must comply with the requirements of the relevant messaging providers and applicable legislation.

You must not:

  • Send unsolicited bulk messages.
  • Use misleading sender information.
  • Circumvent provider restrictions.
  • Attempt to bypass messaging limits.
  • Use messaging services for fraudulent purposes.

Failure to comply may result in messaging providers restricting or suspending your messaging capabilities.

5. Artificial Intelligence and Automation

DM365 includes AI-powered features and business automation tools designed to improve efficiency.

Customers remain responsible for:

  • Reviewing AI-generated content before publication.
  • Ensuring automated communications remain accurate and appropriate.
  • Monitoring automations to ensure they continue to operate as intended.
  • Complying with applicable legal and regulatory requirements.

AI should assist business decision-making rather than replace appropriate human judgement.

6. Security Responsibilities

Customers are expected to help protect their own accounts by:

  • Using strong passwords.
  • Protecting login credentials.
  • Enabling multi-factor authentication where available.
  • Removing access for former employees promptly.
  • Regularly reviewing user permissions.
  • Reporting suspected security incidents without delay.

Security is a shared responsibility between Red Knight Solutions and each customer.

7. Data Protection

Customers are responsible for ensuring that any personal information stored or processed within DM365 is collected and used lawfully.

Where customers act as Data Controllers, they remain responsible for complying with applicable data protection legislation.

Red Knight Solutions provides the platform and supporting services but cannot determine how individual customers choose to use their own data.

8. Fair Usage

DM365 is designed to support genuine business activity.

Customers must not deliberately misuse platform resources or attempt to negatively impact platform performance.

Examples include:

  • Excessive automated requests.
  • Deliberate attempts to overload services.
  • Circumventing platform limitations.
  • Abusing trial accounts or promotional offers.

9. Prohibited Activities

The following activities are prohibited:

Attempting to gain unauthorised access to other customer accounts.

  • Spam.
  • Phishing.
  • Malware distribution.
  • Fraudulent activity.
  • Identity theft.
  • Distribution of illegal or harmful content.
  • Copyright infringement.
  • Circumvention of platform security.
  • Reverse engineering platform functionality where prohibited.

10. Monitoring and Enforcement

Where we reasonably believe this policy has been breached, Red Knight Solutions may take appropriate action.

Depending on the circumstances this may include:

  • Contacting the customer.
  • Requesting corrective action.
  • Temporarily restricting access to specific functionality.
  • Suspending accounts where necessary.
  • Terminating services in accordance with the DM365 Platform Terms & Conditions.

We will always aim to work with customers to resolve genuine issues before taking enforcement action where appropriate.

11. Reporting Concerns

If you become aware of suspected misuse of the DM365 platform, please let us know.

Prompt reporting helps us protect all customers and maintain the integrity of the platform.

12. Changes to this Policy

We may update this Acceptable Use Policy from time to time to reflect changes in legislation, technology or platform functionality.

The latest version will always be published within the DM365 Trust Centre.
